Club-level Activities


 

 

Hockessin Soccer Club prides itself on being a community of soccer families who are dedicated to supporting the growth of our children through their love of soccer and youth sports. In addition to volunteering at the team level, every family is expected to support all the teams in Hockessin Soccer Club through volunteering time, or donating toward the cost of operations.

 

 

 

·         If you volunteer as a Board member, Coach, Assistant Coach or Manager, your volunteer fee is waived for the 2007-08 season.

·         If you volunteer for a Club-level position then the Club will waive your Volunteer fee for the 2007-08 season.

·         If you choose not to donate your time at the Board-level or Club-wide level, your volunteer fee for the 2007-08 year will be $40 (this includes the fall and spring season).

·         All families are still expected to volunteer for a team-level job to support their son or daughter’s team (team registrar, team treasurer, field lining duty, etc.)

·         Managers will be asked to submit their team roster indicating the level of Club fees each family is paying, and for those who are donating their time, the contact information for the family member who should be contacted by the Club’s Volunteer Coordinator.


Hockessin Soccer Club Volunteer Positions and Functions


 

 

Below you will find a list and brief description of positions that need to be filled for HSC to function properly. Some of these positions are required as a non-profit corporation; some are required by the leagues we play in; and some are required to keep the club functioning at an optimal level. All these jobs require frequent email contact.

 

Volunteering for one of the positions below will qualify the family to be exempt from paying the Club Volunteer fee in the fall. Board-level positions need to be voted on. Nominations will be taken before the annual general club meeting.

 

 

 

executive Board-level Positions (year round activity)

 

 

President

Preside at board meetings once a month. Assist Treasurer in determining a budget. Be a resource for questions arising from our teams. Administer other Club positions.

 

Vice President

Attend all meetings of the Board and/or the general membership. Perform duties as assigned by the President. Serve as the club’s Representative Team Director.

 

Treasurer

Work with Club Bookkeeper in handling all financial matter concerning the Club. Responsible for implementing and enforcing the financial policies of the club. File all required tax returns and financial reports to governmental agencies. Keep accurate and detailed records of all monies received or expended. Attend meetings and provide reports as required by the Board of Directors. Attend monthly board meetings.

 

Secretary

Attend and keep the minutes of meetings of the Board of Directors and the general membership. Maintain the official records of the Club and give notice of meetings of the Board of Directors and membership. Work with Vice President on election committee and AGM.

 

Instructional Director

Responsible for all tasks necessary to run the Instructional League according to the policies established by the Board of Directors. Attend monthly board meetings.

 

Representative Director

Oversee our travel program in conjunction with our Director of Coaching. Work with coaching committee to resolve any coaching issues. See also Vice President duties.

 

Director of Fields

Responsible for all tasks necessary to acquire, develop and maintain fields. Attend monthly board meetings.

 

 

OTHER Board-level Positions (year round activity)

 

 

Marketing/Publicity Director (open)

Responsible for timely and effective external Club communication. Work with webmaster to provide news items for the Club website. Work with local newspapers by providing advertisements and newsworthy items when appropriate for the instructional and travel programs. Produce quarterly Club Newsletter. Attend monthly board meetings.

 

Fundraising Director (open)

Help set up fundraising campaigns to offset the rising costs of just about everything. As a nonprofit organization we have the ability to offset the cost of club soccer to those families in our Club requiring financial assistance. We need people to help us identify good sources for grants and sponsorship and get the stories of past successes to these sources. Attend monthly board meetings.

 

Tournament Director (open)

Administer the annual HSC Spring Classic Tournament and other Club tournaments. Attend monthly board meetings.

 

Field Assigner

Responsible for scheduling all required home games for the teams in our club. Provide teams with schedules of club fields for games and practices. Aid in the rescheduling of games as required. Attend monthly board meetings.

 

Director At Large

Help with board committees as needed. Attend monthly board meetings.

 

 

aDDITIONAL Club-level Volunteers

 

DYSA Representative

Attend monthly Delaware Youth Soccer Association (DYSA) meetings in Dover. Update HSC board and staff with relevant information from our State Association.

 

PAGS Delegate

Attend periodic meetings of the Philadelphia Area Girls Soccer League. Act as liaison for our girls travel teams participating in PAGS.

 

DELCO Delegate

Attend periodic meetings of the Delaware County Soccer League. Act as liaison for our boys travel teams participating in DELCO. Coordinate with team managers to complete player’s registration with US Club Soccer.

 

Super Y Coordinator (open)

Act as club contact for United Soccer Leagues (USL) Super Y summer league. Coordinate game schedule and practice schedule with HSC Super Y Coaches. Make sure all minimum standards are met in accordance with USL guidelines.

 

TOPSoccer Coordinator (open)

Administer the TOPSoccer Program for our players with disabilities. Recruit “buddies” to work one on one with the players. Organize t-shirt order, end of season pizza party and trophies.

 

Referee Assigner (open)

Schedule referees for all Club home games. Maintain records of who has refereed our games and submit invoices for payment to the bookkeeper once a month.

 

Field Maintenance Coordinator (open)

Work with the Field Assigner to establish, maintain and monitor a schedule for painting and maintaining lines on the playing fields. Need to monitor and order paint supplies.

 

Equipment and Nets Manager (open)

Organization and distribution of balls, cones, and playing equipment. Train net crews in the proper way to hang a net. Maintain club equipment inventory.

 

Volunteer Coordinator (open)

Ensure that all teams are properly represented in the various volunteer positions. Ensure that there is continuity (back fill planning). Maintains a log that explains the various volunteer functions and helps new incoming volunteers in performing expected tasks.

 

Concession Stand Coordinator

Coordinate volunteer schedule for Club Concession Stand for the fall and spring seasons.

Maintain an inventory of food items. Open concession stand for first shift of volunteers and close at the end of the last shift. Train new volunteers in use of equipment.

 

HSC Store Coordinator (open)

Coordinate volunteer schedule for HSC Store. Maintain inventory of items. Organize “Christmas Shop” with special holiday gift items.

 

Service Hours Coordinator (open)

HSC provides students the opportunity to give back to the Club, take on more responsibility, and earn volunteers hours toward their school requirement. The Service Hours Coordinator works with the Club volunteers (Field Maintenance Coordinator, Tournament Director, etc.) to coordinate the needs of the Club and the schedules of these volunteer players.

 

Travel Team Manager Coordinator (open)

This position supports managers who oversee Club teams. Provide necessary support documents and be a resource for incoming and new managers.

 

Attorney & Tax Assistant (open)

Assist the Club with legal and tax matters (contracts, etc.)

 

Special Events Planner (open)

Plan Club events such as an annual kickoff BBQ, Golf Outing, Casino Night, Awards/Celebration night, etc. Come up with ideas that can make the Club a more cohesive unit. Work with Managers.

Club-Wide Responsibilities


 

The success of Hockessin Soccer Club (HSC) depends on the volunteerism of our families. Since we recognize that we are all busy working and volunteering in many aspects of our family’s lives, HSC is offering the following opportunities for those who want to help out, but have limited time to offer. These are examples – you can volunteer for one of the categories, and our Club’s Volunteer Coordinator will contact you to see if you’re available for one of the tasks in a particular category.

 

On the Field Opportunities:

 

·         Field-lining: During the regular playing season (April-June and August-November) we need people who can give 30-60 minutes to line our game fields before the weekend games. Training will be provided.

 

·         HSC Basement/Storage: At least four times a year (at the beginning and end of each playing season), go through and clean out/reorganize our supplies in the basement and in the sheds.

 

·         Nets/Goals: Twice a year (at the beginning of each season) check all nets for tears, fit, etc. and make sure each of the nets are in good shape and ready for games. Make sure anchor bags are in place at each goal.

 

HSC OFFICE OPPORTUNTIES:

 

·         Office Phone: Help answer office phone prior to and during the fall and spring seasons.

 

 

At Home Opportunities:

 

·         Database Entry: Help maintain e-mail database of other club teams (local and out of state) for marketing purposes.

 

TournamentS

A number of volunteer opportunities are available during our tournaments, including registration, field marshal, parking attendants, trash duty, Costco runs, and fundraising.

 

Event Staff

During other HSC events throughout the year, we need volunteers to staff events such as our Golf Outing/Beef n Beer, etc.
